Costco Special EventsStaffing
A Costco special event is a limited run promotion where a supplier takes its own space inside one or more Costco warehouses, usually for between 4 and 14 days, to show members the product and sell it on the spot.
Costco events staffed in every warehouse on your list
We put the people on it. EXECUTIONAL supplies sampling staff, brand ambassadors, merchandisers and product demonstrators for a single warehouse or a run across the country, timed around the big seasonal pushes.
Itemised pricing, usually ready within hours, shows what each shift costs and exactly what makes up that figure.
Once the price is approved you get a dedicated account manager, and a project manager takes charge on the live dates.
Our operations people match each person to your range on skills, experience and distance from the warehouse.
A date that moves late is not a problem, because we can staff at short notice, though more warning always helps.
Planning a Costco special event in six moves
The suppliers who do well at Costco plan weeks ahead, not days. This is the order most special events follow, and where the team fits in.
Much of the advice published on Costco roadshows comes from the American market, where pay rules, licensing and food handling all work differently. Ours is the UK version.
Lock the warehouses and dates
Confirm which sites, which days and the trading hours that need covering.
Agree the target
Settle what a good result looks like with your buyer, so everyone on the floor is chasing the same number.
Keep the display simple
Costco signs off the design in advance, and a clean, uncluttered space is easier to get approved.
Plan stock day by day
Work out what each warehouse needs for each day, so nothing runs dry when it gets busy.
Set headcount and shifts
Decide how many people each site needs and when. Many suppliers add cover for Saturdays and Sundays.
Brief everyone properly
Send the briefing form early. If the product is technical, we can add a training session, virtually or in house.
Costco brand ambassadors and five more roles
Most special events need two or three of these at once. Say what the space has to achieve and we will recommend a mix that fits.
Warehouse tasters
Tasting teams, our sampling staff, let members try the product, then turn that first taste into a purchase while the pack is within reach.
Demo presenters
Presenters are product demonstrators who show the product working, which is what sells kit members want to see in action before they buy.
Aisle sales crews
Sales crews open conversations in the main walkways and bring members over, keeping momentum through the quiet hours as well as the peaks.
Price checkers
Checkers make sure the display on the last day looks as sharp as it did when the doors first opened.
Character performers
One of our costume characters gives families a reason to stop and gives children a reason to pull their parents over.
Warehouse leads
Leads oversee events trading in several warehouses together, so every team follows one plan and one clock.
Costco roadshows in several warehouses at once
Five warehouses on the same weekend means five teams working to one brief. People come from the closest of the 40 hubs we run around the UK, picked from the 6,000+ staff registered with us.
Where two warehouses are near neighbours, the same person frequently works both runs, meaning a smaller group to brief. An event manager can pull the whole programme together while several sites are trading.
Right to work and ID are checked for every person before their first shift.
Pay runs through PAYE, with HR, tax and National Insurance all dealt with by our own team.
Employer and Public Liability insurance is held for every Costco booking.
DBS checks, risk assessments, food hygiene certificates or alcohol licensing are all available if you ask.
Costco special events for every season
Warehouses run special events all year, and each season brings its own ranges. We staff the quieter months as readily as the busiest weeks, so a calendar of events is covered by one team behind the scenes.
Spirits, chocolate, hampers and gift sets compete hardest for attention, and suppliers want the most warehouses trading at once.
Fitness kit, supplements and better-for-you food lines pick up as members reset their routines.
Chocolate, family treats, garden furniture and outdoor kit come forward as the clocks change.
Grills, drinks, outdoor dining and holiday lines take centre stage through the long evenings.
Lunchbox food, stationery, tech and family essentials before the new term begins.
Party packs, sweets, costumes and treats for the October half term and the weeks either side.
Brands that keep coming back to us

“The Team at Executional are always great to work with and it has been a pleasure working with everyone. The team are always very quick to help and consistently demonstrate strong flexibility especially when adapting to any last-minute requests.”
“Great agency with competitive and fair rates. Communication was excellent throughout and the staff provided were very helpful, proactive and knowledgeable on the brief sent over. Would recommend and use again!”
“I have used Executional for roughly 8 years. They have been great to deal with. From arranging staff 6 months in advance for events to last minute a week before when our requirements have changed.”
Costco roadshow staffing, from brief to first shift
Four steps, whatever the size: one warehouse for a long weekend or a national programme across the year.
List each site with its event days, opening times and the headcount wanted on the floor.
Billing terms are fixed in writing before the first shift, with every line visible.
Approve the quote and a named account manager joins you, while our operations people begin matching the team.
Everyone sits a briefing drawn from your form, and a project manager then looks after the trading days.
Costco buyers look closely at how a line sells during an event, so settle early what information you want. Reporting is bespoke and billed on top of the staffing, its scope agreed before anything is confirmed and shown in your quote. It can run through systems you already use, or through forms we set up and return to you. Behind every shift sit live attendance monitoring, geo-tagged arrival check-ins and shift reminders.

Send your warehouse list and dates
List each warehouse with its days and trading hours, then tell us how many staff each site should have. Your itemised quote normally follows in a matter of hours.

Questions suppliers ask before a Costco event
Short answers on how the staffing side works, start to finish.
Send the warehouse list now and the price comes straight back to you.
Can suppliers use agency staff at a Costco special event?
Yes. Costco special events allow suppliers to run them with their own staff or with agency staff. EXECUTIONAL is an independent UK staffing company, not part of Costco, and is booked by suppliers and their agencies.
How is a special event different from a Costco demo?
It runs for longer and gives the supplier its own space. A demo usually supports a product already on the shelf for a day or two, while a special event leaves room for the full brand story, live demonstrations and an event-only offer.
How many staff does a Costco roadshow need?
It depends on the warehouse, the trading hours and the product. You give us the headcount for each site and we price exactly what you have asked for.
Can you staff alcohol tastings in a Costco warehouse?
Yes. Our teams have poured spirits for members at a branded bar, with allergen and age signage on display, and we can provide alcohol licensing on request.
Can one team cover the whole run?
Yes, if you would prefer that. Mention it when you send the brief, and the price will cover the same people moving from warehouse to warehouse, which means one briefing for the whole run.
Do you supply the display as well as the staff?
No, our part is the people. Building displays is not something we do any more, though we can introduce you to suppliers we trust.
Can a creative agency book you for its client?
Yes, and plenty do. Agencies keep ownership of the idea and their client while we take care of the people and the rotas. Suppliers also come to us directly.
Can you staff Costco events all year round?
Yes. Christmas, Easter, summer, back to school and Halloween all bring their own ranges, and the quieter months are covered just as readily. Earlier booking gives the widest choice of people, though late bookings can still be covered.
